A new feature has been added to ZenHR allowing HR admins to “set a cap for employees’ vacation accumulative balances”.

How to Activate This Feature?

Annual Vacation Setup

User Menu Settings Leaves & Vacations Annual Vacations

A new option will appear once the accumulative vacation balances feature is active, allowing HR admins to activate the vacation accumulative balances cap by setting a number of days for the Cap

How will employee balances be affected?

The system will calculate the daily rate of the accumulation by dividing the employee’s open balance over the number of days in the balances’ interval.

The available balance will be calculated according to the below equation:

Employee’s available balance = (open balances / number of days in the year * number of days until the current date) + previous balances + adjustments - taken days.

Activating the vacation accumulative balances cap will allow you to manage the maximum number of vacation days in the available balances of your employees, and the accumulation will stop once the balance reaches that number, and it will only accumulate when it's less.

Note: Both employees and the approval committee will not be able to view the total balances as they can only view the available number of days in all related pages and notification emails.

Are there any other affected areas?

Yes - vacation compensation number of days will be affected by the cap in employees’ end-of-service when calculating the employees’ provision. Also, the available balances in system-related reports will be affected by the cap, noting that HR admins will be able to check the total balances for auditing purposes.
