Using Roster Shift Planning on ZenHR

Roster Shift planning and scheduling on ZenHR can handle a wide variation of scheduling needs, which helps you manage shifts smoothly. 

A schedule is most often created by the super admin, HR Admin, or a scheduling specialist who might be dedicated to creating and maintaining schedules.

How to create a the Roster Feature

To activate the roster shift planning feature for a certain employee, follow these steps:


Main Menu à Employees à Employees Management à Employees Profile à Edit Personal Information

 
This option must be activated in order to be able to assign a roster shift to this specific employee



How to create a new Roster Shift


User Menu à System Preferncesà Attendance and Time Tracking à Work Shift à Roaster Shifts à  Add

 


After clicking on "Add" new roster shift you will be directed to this page so you can build the shifts according to your needs:

 

FieldDescription
Morning leave after in minutesThe system will start considering the employee late "came after the shift start" after exceeding the defined minutes
 Number of minutes allowed for the employee to check-in after the shift start time
Early out leave before in minutesThe system will start considering the employee as early out "left before the shift end" after exceeding the defined minutes
 Number of minutes allowed for the employee to check-out before the shift end time
Overtime after in minutesThe system will start calculating overtime after exceeding the defined minutes after the shift end time
Break time in minutesNumber of minutes allowed for the employee to take break-in during the shift period
Add Working Days ExceptionsWill allow the admin to set a different start & end time for a specific day in the week
Add FunctionWill allow the admin to add the functions that will be used by the employees such as Break, Smoke, Business Leave
Add Overtime ExceptionsWill allow the admin to change the overtime rate for a specific day and time


Start Scheduling 


Main Menu à Time Management à Employee Shifts à Scheduling Tab 


Click on "Shift Details" to view all the shifts that have been created, along with their times. 



To view all the employees who haven’t been assigned to a shift on a specific date, follow the below steps:

  • Open the "Filters" tab.
  • Set the time period.
  • In the field “Without Schedules”, select “Yes”.
  • Click on “Filter”.

 

A list will appear, which shows all roster employees who haven’t been assigned to any shift on the specified time period, with the working days for each employee in this period.

Click on “Add”, to select the desired shift for each employee in each working day within the specified time period.

You can add the shifts employe by employ by following the below steps:

 



Or you can add the shifts to all the employees without shifts by using generated importer as below:
