Off-Cycle Payments on ZenHR allows HR admins to “manage employees’ off-cycle payments (out-of-payroll transactions) and export them to the bank if needed.”

Off-Cycle Payments Manage Financial Transaction

To make things easier, HR Admins can now access and manage their out-of-payroll transactions from the “Manage Financial Transactions” page.


 

How to add new off-cycle transactions?


Adding a New Financial Transaction 


You can add new financial transactions by clicking Add New Financial Transaction from the Actions (+) button in the page’s corner.

 

 

This newly added page will allow you to choose the employee, transaction type, transaction amount, and effective date. To change the payment type from in-payroll to off-cycle, you can select Yes from the option Out-of-Payroll Transaction shown below and decide if you want to pay in cash or transfer it to the employee’s bank account. 

 

 

You can choose if you want to deduct the income tax from the transaction amount or to include it in the monthly salary if you have income taxes in your country; otherwise, this option and its related fields will be hidden.

 

 

Import Off-Cycle Transactions from Excel Sheets


You can import your employees’ off-cycle payments by clicking Import Financial Transactions from the Actions button (+) in the page’s corner.

 

 

A popup window will appear, allowing you to download the needed template, fill it out and re-upload it into the “attach” field. You can also select the transaction type and insert the payment date. You can then choose if the transactions are off-cycle payments or not and if you want to pay it in cash or transfer it to the bank. You can also specify if you wish to deduct income taxes from the employee’s transaction amounts. 

 

 

 

 

Financial Transactions Report

We have enhanced our financial transactions report allowing you to export your employees’ off-cycle transactions by selecting Out-of-Payroll from the payment type field. You can also view all the needed details such as payment type, status, and date, in addition to the deducted tax amount if the income tax is included in your country setup.

 

 

Bank Export Report

A new tab was added to the bank export report allowing you to export your employees’ off-cycle payments to their bank accounts. You can do that by selecting your company’s bank account, the needed template, and choose which transactions to export using the report filters.
