Split Shifts

We are excited to present you with ZenHR’s latest feature, Split Shifts. Split Shifts allow HR admins to break their employee's work schedules into two or more shifts within a calendar day. The system will then analyze the attendance transactions of each interval. 

Split Shifts allow employees to have flexible schedules so they can better balance their professional and personal lives without compromising their working hours or pay.

How to Activate This Feature

Split Shift

User Menu  System Preferences  Time Setup  Attendance & Time Tracking → Work Shifts → Split Shifts

 


By clicking on “Add Split Shift”, HR admins will be able to set up their split shifts according to their company policy/business needs. Admins can add a minimum of 2 intervals and a maximum of 5 intervals within a work shift. 

 

There are three types of Split Shifts admins can choose from:

  1. Regular
  2. Roster
  3. Flexible

 

Regular Split Shifts

Regular split shifts have a set start time and end time for each interval. They rarely change and include weekends.

 

Roster Split Shifts

Roster split shifts have a set start and end time for each interval. These are scheduled and change on almost a daily basis. They also don't include weekends, as days off are scheduled on the employee shifts page.

 

Flexible Split Shifts

Flexible split shifts require employees to complete a certain number of hours between a specific start and end time for each interval. They rarely change and include weekends.

By clicking “Add Interval,” admins will be able to add up to 5 work shift intervals within that day. 



Admins must also complete the setup by filling out the fields below.

Allows admins to add additional work periods for employees to complete within a calendar day.

Grace period for arriving late

 

“Grace period for arriving late” is the allowed number of minutes employees can check-in after their shift has started.

The system will consider employees late (arriving after a shift had started) after exceeding the predefined grace period for late arrival.

The system will group the total lateness transactions of all intervals before calculating an employee’s lateness. 

Grace period for leaving early

 

“Grace period for leaving early” is the number of minutes allowed for the employee to check out before their shift has ended. 

After exceeding the allowed number of minutes, the system will start considering employees’ early check out from work (leaving before a shift has ended).

The system will group the total early check-out transactions before calculating early leave.

Grace Period for not completing the required number of hours

 

“Grace period for not meeting the required number of hours” is the number of minutes allowed for the employee to check out before their shift ends.

The system will start considering employees’ incomplete required number of hours for an interval after exceeding the predefined allowed number of minutes.  

The system will group the total incompleted hours of transactions of all intervals before calculating the total incomplete amount of time. 

Calculate overtime after.

 

The system will start calculating overtime after exceeding the defined amount of time after a shift has ended.

Add working day exceptions

Allows admins to set different start and end times for a specific work day in the week.

Admins can also set particular intervals for that day.

Add function

Allows admins to add functions that can be used by the employees such as Lunch Break, Smoke Break, or Business Leave.

Margin percentage between intervals

Allows admins to set which interval check-ins belong to according to how close it is to the end of that interval.

Add overtime exceptions

Allows admins to change the overtime rate for a specific day and time.

 

How to Assign these Shifts to Employees

Main Menu  Time Management → Attendance & Time Tracking → Employee Shifts

Once the shifts have been created, they will need to be assigned to employees. Similar to non-split shifts, split shifts are assigned through the Employee Shifts page. The flexible and regular splits can be added by clicking the “Regular” tab.

How to Analyze Split Shift Attendance Records 

Manage Attendance Records

Main Menu  Time Management → Attendance & Time Tracking → Manage Attendance Records

On the Manage Attendance Records page, admins can see which attendance transactions belong to which interval by clicking “Details” next to each attendance records. 

 

 

 

Recommendations

Main Menu  Attendance & Time Tracking → Recommendations

Admins will be able to apply the attendance recommendations (overtime, lateness, etc.)  for each interval independently.
