Using the Employees Air Ticketing Module on ZenHR

HR Admins will be able to define and assign the air ticket policy that will cover the ticket price for employees.


Air Tickets Policy


User Menu à System Preferences à Financial Setup à Air Ticket Policy

 

The below screen allows HR admins to define the air ticket policy and assign it to employees.



To add a new air ticket policy, follow the below steps:

  • Start by clicking on the “Add” button.
  • A new screen will appear as shown below:

  

 

Fill out all the below fields:

  1. The name of the air ticket policy.
  2. Allowed after - Number of months after which the employee will be allowed to request the air ticket.
  3. From – Choosing whether employees will be allowed to request it after a certain number of months from the hiring date, end of the probation period, or the creation date of the air ticket policy.
  4. Recurring Every - Number of months after which employees will be allowed to request another air ticket.
  5. Quantity – Number of tickets allowed every recurring time.
  6. Ability to request – Check this box if you want to allow employees to request air tickets.

 

By clicking the "Add Setup” button, the below screen will appear allowing admins to select positions and nationalities included in the policy, employee period of employment, and the allowed ticket amount per employee/beneficiary.

 

By clicking the “Add Beneficiary Setup” button, the below screen will appear allowing the HR admin to select family members who are included in the policy and deduction percentage per ticket.


To distribute the air ticket policy to employees, click on the “Distribute to employees” button from the page “Air Ticket Policies List”.



The below screen will appear allowing the HR admin to choose the air ticket policy and the employees who are included in this policy, by choosing the work location, department, section, main project, or it can be sent to all employees by not assigning it to any of these specific groups.



Employee Air Ticket Allowance


To add or edit the air ticket policy for a specific employee, follow these steps:

Employee Air Ticket Request


Main Menu à Requests à Request Air Ticket Transaction 

 

The next screen will appear allowing the employee to request an air ticket, by selecting the employee name or the family member’s name in the Owner Name field, the Air Ticket Policy, the Effective Date, and an attachment if it’s mandatory. Then the amount will be automatically added based on the policy.
