Punch In/Out Alerts 

We are thrilled to share the exciting news of our latest update to the Notifications Setup. We have introduced a brand new option that empowers you to effortlessly send automated Punch In/Out alerts to your employees. This addition aims to streamline and enhance the overall attendance tracking process within your organization. 


With this new functionality, you can now automate the process of reminding employees to Punch In/Out at designated times. By enabling this option, you no longer have to manually follow up with each employee individually, saving you valuable time and effort. 


Moreover, recognizing the importance of effective communication and accountability, we have also introduced additional options within the Notifications Setup. These new options are designed to notify the direct managers and HR admins whenever an employee fails to Punch in or out as required.


How to Activate Punch In/Out Alerts

To activate this feature, on the Notifications Setup page, under Recurring Transactions  Expiry, activate the toggle “Turn Notifications On”.



Once the option is activated, the following fields will be enabled. Here admins can set the timing, after which the notifications will be sent to employees, managers, and HR admins.



Example: If the notification was set to be sent after 30 minutes to employees and after 1 hour to Managers and HR admins, and the employee’s shift starts at 08:00 AM and ends at 17:00 PM, the Punch In alert will be sent to the employee at 08:30 AM and the Punch Out alert at 17:30 PM. A Punch In alert will be sent to Managers and HR admins at 09:00 AM and a Punch Out alert at 18:00 PM.


*For split shifts, Punch In/Out alerts will be sent based on each shift interval.


Additionally, our system allows admins to customize the recipients of the notifications. This means that admins have the flexibility to specify particular HR admins who should receive the alerts. Alternatively, they can opt to broadcast the notification to all HR admins who have access to the specific branch in question. 



Please Note the following: 

*If any fields are left empty, no notifications will be sent.

*If the “HR admins to be notified” field is left empty, notifications will be sent to all HR admins that have access to this branch.

*The grace period in the Work Shift Setup will not be considered for notifications.

*No notifications will be sent If employees have already punched in or out.

*No notifications will be sent on predefined holidays in setup.

*No notifications will be sent on predefined weekends in the Shift Setup and Branch Setup.

*No notifications will be sent if the employee has an approved time off.

*No notifications will be sent if the employee has a leave that falls within the shift start or end time.

*No notifications will be sent on days off for roster shifts.

*No notifications will be sent if the employee has already submitted a missing punch request.

*Working days exceptions in the work shift setup are considered, where the start and end times may be different.
