Attendance Sheets

The Attendance Sheets feature in ZenHR allows organizations to manage and track all attendance sheets in one centralized location. These sheets are imported directly from the attendance tracking machines integrated with ZenHR or can be manually imported through the system.


How to Access the Attendance Sheets Page

To access the Attendance Sheets page,  go to Main Menu → Time Management Attendance & Time Tracking  Attendance Sheets 




Before managing attendance sheets, ensure that the attendance machines have been set up correctly in the System Preferences.


How to Setup Attendance Machines

  1. Go to User Menu  System Preferences  Time Setup  Attendance & Time Tracking  Machines

  2. Click on “+Add”.

  3. Fill in the required fields:

    • Name: Enter the name of the machine.

    • Serial Number: Input the machine's serial number.

    • Attendance Sheet Template: Select the appropriate attendance sheet template.

    • Functions: Set up the required functions, like Lunch Breaks, Smoking Breaks ..etc. (Clock-in (C-In) and Clock-out (C-Out) are default).

    • Optionally, mark the machine as the default machine if it will be used across multiple locations or departments.

  4. Then click “Add” to save the machine setup.

If you have multiple machines to set up, you can import them using a template:

  1. Click “Import Attendance Card IDs”.

  2. Download the template, fill in the required details, and upload the completed file.







Managing Attendance Sheets

The Attendance Sheets page features a data table that provides an overview of all imported attendance sheets. The table includes the following columns:

  1. Sheet Name: The name of the imported attendance sheet.

  2. From Date: The start date of the attendance records in the sheet.

  3. To Date: The end date of the attendance records in the sheet.

  4. Success: The number of successfully imported records.

  5. Failures: The number of records that failed to import.

  6. Status: Indicates whether the import was a success, partial success, or failure.

  7. Imported On: The date and time when the sheet was imported.

  8. Actions: Options to View, Download, or Delete the attendance sheet.

How to Import Attendance Sheets

To import attendance data from external sources:

  1. Click on “Import Attendance Sheet”.

  2. Select the Date range and the Attendance Machine.

  3. Upload the attendance sheet by selecting the appropriate file format (xls, xlsx, csv).

  4. Then click “Import” to save the data.



Hot to Generate Time-Based Attendance Sheets

  1. On the Attendance Sheets page, click on “Generate Time-Based Sheet”.

  2. Select the appropriate date range.

  3. Fill in the required filters such as Employee Name, Work Shift, Work Location, Department, Section, etc.

  4. Click “Generate” to create the attendance sheet.

How to View & Delete Attendance Sheets

To view an existing attendance sheet:

  1. Find the sheet you want to view in the list.

  2. Click on the View icon next to the sheet name.

  3. This will allow you to see the attendance records that were imported.


To delete one or more attendance sheets:

  1. Find the sheet you want to delete from the list, and click on the delete icon in the Actions column.

  2. OR, Select the sheets you want to delete by checking the box next to the sheet name.

  3. Click the Delete icon at the top of the list.
