Performance Evaluation Enhancements  


You can now create General Factor Templates, which allow you to evaluate employees on additional factors not already included in their OKRs or Competencies. 


We’ve also made significant improvements to Evaluation Templates, OKR PublishingEvaluation Cycle Creation, and the ability to take Mass Actions during the Evaluation process.

How to Add General Factors Templates? 


Main Menu  Performance Evaluation  Performance Evaluation Setup 


On the Performance Evaluation Setup page,  click “General Factors Templates”. Here, complete the form by naming the template and adding the general factors to the template along with their weight (the total weight of the general factors should be 100%)


Add the general factors you want to evaluate employees on that are not already included in employee OKRs and competencies.

On this page, create templates to evaluate employee performance more efficiently. Customize each template and choose whether you want employees to be evaluated based on OKRsCompetenciesGeneral Factors, and more. 


Click on the “Create Evaluation Template” button and complete the following 4 steps.  



Step 1: Complete the fields below: 

  • General Information 

    • Template name 

    • Evaluation Interval 

      • Annual 

      • Biannual 

      • Quarterly 

      • Monthly 

    • Service period more than 

    • Result Formatting: Choose the format in which you would like the results to appear. The result f0ormat can be a Percentage ( % ), Out-of-scale Level, or Both.

      • The format selected is how the result will be displayed on the Results page, Review page, and Results PDF.

      • The result format selected will be seen in the self-assessment and final assessment

      • Note: If Out-of-Scale Levels is selected, then the auditing results will not be a percentage. 

  • Self-Assessment

    • If “Activate employee self-assessment” is active, then the employees will be able to evaluate themselves in the performance evaluation stage. 

    • If active, the user can choose to activate the checkbox Show self-assessment to managers during evaluation”. If the checkbox is activated then the self-assessment results will be shown to the manager during the evaluation stage.

  • Other Settings

    • If “Hide weight while evaluating” is active, the weights will be hidden in the performance evaluation stage.


Step 2: Evaluation Weights


In this step, choose what you want to be included in the evaluation: OKRs, Competencies, General Factors. Enable the toggles beside the ones you want to include. The total weight of all evaluation weights should be 100%.


OKRs


If OKRs is activated, add the weight you want the OKRs to have and the maximum number of objectives to be added per employee. 

Enable “Activate follow-ups for employee OKRs” if you would like the follow-up stage to be open for the employees and manager to add achievements continually between the end of the auditing OKRs stage and the start of the performance evaluation stage


Additionally, select if you want the evaluation to be based on objectives or key results. 



Competencies 


If Competencies is activated, enter the weight you would like competencies to have. The competencies that will be added to an employee will be the same competencies that are added to the employee’s position in the Position Setup.




 General Factors 


If General Factors is activated, enter the weight you would like the general factors to have and select the general factors template they want to add to the employees during the evaluation cycles.



Step 3: Stages & Task Holders


In this step, choose the task holders, who are the people responsible for the actions in each stage, and the duration for each stage. 


Step 4: Scale Levels


In this step, assign the scale levels. The scale level starts from zero with no gaps between levels to ensure accurate results. 

Note: the minimum level is always locked and filled with the previous scale maximum.



How to Publish OKRs? 


The OKRs writer and auditor have the ability to publish and unpublish OKRs. OKRs can only be published if their total weight is 100%. If they are not published, they will be considered a draft, so the employee will not have OKRs until published.


To publish OKRs, click on the “Publish” button on the top right corner of the View OKRs page.



Note: The HR Admin and the evaluation admin can also publish OKRs.


How to Create an Evaluation Cycle?

On the Manage Evaluation Cycles page, click on the “Add” button to create a cycle.  


Step 1: General Information 

Select the template to be used in the cycle. 

  • If the template is Annual, select the year. 

  • Biannual, select half of the year.

  • Quarterly select quarter.

  • Monthly select the month. 

The start and end date will be filled automatically.



Step 2: Stages Dates 


The dates of the 4 main evaluation stages will be automatically filled but can be edited according to preference (the dates should not intersect and should be consecutive).



Step 3: Emails


In this step, enable the toggles of the emails you want to receive at each stage.



Step 4: Adding Performance Reviews (Optional)


Here, you can add performance review cycles to the evaluation cycle. You can add as many review cycles as you like. The dates of the reviews should all fall between the end of the OKRs Auditing stage and the start of the performance evaluation stage.



Mass Actions on the Evaluation Process Page

The user can now perform multiple mass actions on the Evaluation Process page (e.g., remove, change stage dates, and change stakeholders).
