Suspended Employees’ Access to ZenHR on the App 

ZenHR’s suspension feature allows admins to manage employee access and activity in the mobile app under certain suspension conditions.  


This guide will explain what an employee or administrator can do when they are applied.

Types of Employee Access Suspension 


  • ZenHR provides two types of suspensions for employees: 

    • Prevent Access Suspension

    • Limited Access Suspension 

1. Prevent Access Suspension

This suspension completely blocks the employee from accessing the mobile app. Employees placed under this suspension, will not be able to log in or perform any actions. Here's what happens:

  • Logged-In Employees:

    • If logged in when the suspension takes effect, a modal (pop-up) will inform you that your access has been suspended. 

    • Employees will be logged out and redirected to the login screen.  

  • Logging In During Suspension:

    • If employees try to log in while they are suspended, the app will display a suspension message. 

  • No Notifications or Emails:

    • Once a suspension is activated, employees will not receive any notifications or emails from ZenHR (except for the initial suspension notification). After that, no communications will be sent until an employee's suspension is lifted.


2. Limited Access Suspension

This suspension allows employees to access the app but only in a limited capacity, preventing any actions or requests. Here's what you can expect if placed under this suspension:

  • Restricted Actions:

    • Employees will be able to log in, but all Request buttons (for time off, missing punches, overtime, loans, etc.) will be disabled.

    • A pop-up message will inform employees that they are suspended whenever they try to perform any action.

    • Clock in/out functionality will also be disabled.


  • Notifications and Emails:

    • Employees will still receive notifications and announcements as usual.

    • Any emails or alerts will still be received unless access is prevented.


Employee Suspension Label

When an employee is suspended, a label will appear on their employee profile indicating the suspension status. If you click on this label, a pop-up will provide detailed information including:

  • Dates of suspension and resumption.

  • Suspension status

  • Reason for suspension


Suspension of Employee in an Approval Cycle


If an employee is part of an approval cycle for requests (e.g., leave or transactions), the system will handle their role depending on the type of suspension:

  1. One of the Approvers:

    • If the employee is at any stage in the approval cycle, your role will be skipped, and the action will pass to the next person in the approval chain.

  2. Only Approver:

    • Pending approvals will be redirected to their direct manager.

    • If there is no direct manager available, the action will be auto-rejected.

  3. Buttons Disabled

    • For suspended employees, the “Approve” and “Reject” buttons will be disabled in the approval screens.

Approvals for Suspensions & Resumptions


Dashboard → My Action → Approvals 

A new section has been added to Approvals for managing suspensions, resumptions, and adjustments. 

On the My Approvals page, select from the filter option Employee Suspensions & Resumptions. 

Admins can now approve or reject Suspensions, Resumptions, or Adjustments from here.

     


Suspension & Resumption Approval Details

The Suspension Approval section gives detailed information about the suspension or resumption:

  • Employee Information: Employee’s image, full name, position, and ID number.

  • Suspension Details: Suspension reason, status (e.g., stopped salary or prevented access).

  • Requester Details: Who requested the suspension, when it was requested, and any additional notes.

  • Attachments: Any supporting documents or files related to the suspension.

Admins can approve or reject Suspension Resumption or Adjustment transactions from this screen.
