ZenATS Recruitment Process Automated Actions  


ZenATS’s Recruitment Process Automated Actions allows you to easily set up automated emails to keep candidates in the loop. Whether an applicant is moving to another stage or if they were disqualified, they’ll get notified right away, so they always know where they stand in the hiring process.

Adding Automated Actions


You can add automated actions to the recruitment process by going to  System Preferences  Company Settings  Automated Actions 


Then, on the Automated Actions page, click the button “Add Automation”. 



Once you click “Add Automation”, a pop-up will appear displaying two options:

  •  Add an automation when disqualifying candidates 

  • Or add automation when candidates enter a hiring stage or leave a hiring stage


Add Automated Disqualification Email


If you select "When a candidate is disqualified from any stage, I want ZenATS to email them after a specified time", the next step is to enter the details of the Automated Disqualification Email.



Enter the Automation name, enable the toggle to activate the email, specify the relevant vacancies, select the email template you would like to be sent, and when the email should be sent. 


Once all the details have been added, this email will be sent to candidates to inform them that they have been disqualified from the vacancies that you have included in the automation.


The automation can be applied to all vacancies, specific vacancies, or only to specific hiring stage templates.


  • If you want to apply this automated email to any vacancy, select “Any vacancy”

  • Then, select a previously made email template from the list. 

  • Select when you want the email to be sent. Either Immediately after they are disqualified or after 15 minutes30 minutes1 hour, etc.    

     


  • If you want to apply this automated email to specific vacancies, select “Specific vacancies”

  • Then select the branches and the vacancies to which you want to apply this automation. 

  • Then, select a previously made email template from the list. 

  • Select when you want the email to be sent. Either Immediately after they are disqualified or after 15 minutes30 minutes1 hour, etc.   

  • If you want to apply this automated email to stage templates, select “Hiring Stage templates”

  • Then, select the branches and the stages to which you want to apply this automation. 

  • Then, select a previously made email template from the list. 

  • Select when you want the email to be sent. Either Immediately after they are disqualified or after 15 minutes30 minutes1 hour, etc.    


Add Stage Automation Email

If you select "When a candidate moves to or leaves any stage, I want ZenATS to email them after a specified time, " the next step is to enter the details of the Stage Automation Email.


Select the Branch and select the Stages. The stage templates listed will vary based on the stages that the selected branch has.


Once you choose a Stage template, the stages within this template will be displayed below. You can view each stage and see which ones include automation. 


You can add an automated email to any stage by clicking on “Add Automation” on the stage you desire. You can also edit or delete existing automation.


To add automation to a stage, click “Add Automation”. Enter the Automation name, enable the toggle to activate the email, specify the relevant vacancies, select the email template you would like to be sent, and when the email should be sent. 


Manage Automated Actions


You can manage all automation on the Automated Actions page. To addeditactivate, or delete an automation, go to User’s Menu →  System Preferences →  Automated Actions.


You can filter automation by selecting All automationsDisqualification automations, or Moved candidate automations.



You can also search for automation by the name of the automation or stage template name.

On this page, you can also preview the automated emails being used by clicking on the preview “eye” icon.


Automatically Disqualify Candidates When Creating a Vacancy


Add Vacancy  → Application form

A new option has been added when creating Yes/No questions on an application form.

When adding a Yes/No question at the bottom, you have the option to automatically disqualify applicants if their answer to this question is a “No”.

If you’d like to automatically disqualify candidates based on their answer to this question, check the “Disqualify applicant if answer is no” box. Now, if the candidate answers the question in the application form “No”, they will be automatically disqualified. 



Manage Hiring Stage Templates


To add, edit, activate, or delete a stage template, go to User’s Menu →  System Preferences →  Hiring Stage Templates 



The status is Active by default; you can deactivate this template by turning the toggle off. You can also edit or delete hiring stage templates by clicking the “...” button.


Add New Stage Template


You can add a new stage template on this page by clicking the “Create New Template” button.



Then, select the branch and enter a name for the stage template you want to create. 

You can also add a new automated action on this template by clicking the Edit icon > Add Automation.
