Managing Employee Tasks on ZenHR
ZenHR’s Task Management feature gives HR teams a simple, organized way to assign, track, and manage employee tasks as part of an onboarding/offboarding workflow or as standalone tasks. You can handle everything from uploading documents and distributing assets to adding bank details or custom requests from one central place.

How to Access Tasks
To go to the Tasks page on ZenHR, follow the steps below:
From the Main menu, go to Employees.
Then select “Tasks”.
On this page, you will find two tabs:
My Tasks – Displays all the tasks assigned to you.
Employees' Tasks – Displays all the tasks assigned to employees.
Employees’ Tasks
Under the Employee’s Tasks tab, you can view all tasks assigned to employees. For each task, you will see:
Task: Task type and title of the task.
Assigned Employee: The person responsible for completing the task.
Status: The current progress of the task (e.g., Pending, Completed).
Due Date: The deadline for completing the task.
Creation Date: When the task was created.
Creator: The person who assigned the task.
Task Type: Indicates whether the task is part of an Onboarding/Offboarding workflow or an everyday task.
How to Assign Tasks to Employees
To assign a new task to an employee:
Click “+ Assign Task” in the top-right corner of the screen.
A list of available tasks will appear for you to choose from.
Document Upload Task
When assigning a document upload task, you might ask the employee to upload files like their ID, passport, or any other required documents.
Select the document type, add any notes or instructions if needed, set a due date, and then choose whether to assign it to an individual or a group.
Download Document Task
For download document tasks, you can assign documents such as the company handbook, policy guidelines, or training materials for the employee to download. Select the document, add any notes if necessary, set a due date if applicable, and decide if it’s for a single employee or a group.
Give Asset Task
Use this task when you want one employee to distribute an asset to another employee. For example, you might assign someone from IT to hand over a laptop to a new hire. Simply select the employee who will complete the task, add any notes or instructions, set a due date if needed, and assign it.
Take Asset Task
You can assign someone to retrieve an asset from another employee. For example, you might assign someone from IT to collect a company phone from a departing employee. Simply select the employee to take the asset from, choose the asset, add any notes if necessary, set a due date if applicable, and assign it to the person responsible for completing the task.
Add Bank Account Task
You can assign employees to provide their bank account details. If needed, add any notes or instructions, set a due date if applicable, and choose whether to assign it to an individual employee or a group.
Add Family Member Task
You can ask employees to add their family members’ details. Employees can add multiple family members, including their contact information, relationship, and other required details. If needed, add any notes or instructions, set a due date if applicable, and choose whether to assign it to an individual employee or a group.
Custom Task
You can create any task you need. Give it a task name, and choose whether employees must add notes or upload attachments. Make both mandatory or leave them optional. If necessary, add any notes or instructions, set a due date if applicable, and assign it to an individual employee or a group.
My Tasks Tab
To go to the Tasks page on ZenHR, follow the steps below:
From the Main menu, go to Employees.
Then select “Tasks”.
Under the My Tasks tab, you can view all tasks assigned to you.
On this page, you will see all pending tasks you must complete.
You can also check your Dashboard, where your pending tasks will be displayed.
