Salary Reconciliation Report

We're excited to announce that we have added the Salary Reconciliation Report to our financial reports.

All Financial Users can now enjoy a comprehensive report of all salary-related transactions, allowing them to verify that the records and information are accurate to identify any discrepancies or errors promptly.

How to Access the Salary Reconciliation Report

You can access the Salary Reconciliation Report by following either of these two methods:

Option 1: From the main menu, go to Reports  Financial Reports  Salary Reconciliation Report 


Option 2: From the main menugo to Payroll  Manage Salaries  Salary Batches


In the Salary Batches tab, click on “Batch” beside the Salary Batch record you would like to view the Salary Reconciliation Report of. 


Click on the  “⋮” button and select “Salary Reconciliation Report” from the drop-down that appears. 



Note: If you access the report through Salary Batches, the report and its corresponding comparison months will be preselected based on the same month of the salary batch and its preceding month. Additionally, the options to apply filters through the Filters and Statuses sections will not be visible.

How to Use the Salary Reconciliation Report

General: 

  • Select the Report month and the Comparison month for the salary reconciliation report. By default, the comparison month will be set to the previous month of your selected report month. However, you can choose to change the comparison month to any month of your choice

  • Under Report type, select whether you would like to generate a Detailed or Summarized report

    • If you select detailed, the report will include all employees that meet the criteria added in the applied filters, if any. 

    • If you choose Summarized, the Summarized by dropdown menu will appear. Select how you would like to summarize your report, either by branch, department, hierarchy group, project, section, or work location. Depending on the selection made, the report will summarize the data based on the chosen category and selected filters.



Filters and Statuses:

To further refine your report, you can use the filters in the Filters and Statuses sections to specify additional criteria such as PositionDepartment, or Employee status, Salary type, and more. 

If the report is set to Detailed, it will display only those employees that match the selected criteria in the applied filters. The same applies to the Summarized report, which only shows the summarized results that match your selected criteria.


Show Columns: 

In the Salary Reconciliation Report, you have the option to customize which columns are displayed in the reports you generate by selecting the desired columns in the Show Columns section. 

If you choose to include quantitative columns like Gross salary, two columns will be generated to display the Gross Salary for both the report month and the comparison month

Additionally, for each selected checkbox, a corresponding difference column will be added to calculate the differences between the values of the two months.


Show Details: 

The Show Details section enables you to customize your Salary Reconciliation Report by selecting which details to include. You can choose to include records without any changes in the report and can also add detailed columns for the items already selected in the Show Columns section. 

For example, if you select “Show recurring transaction worth amount”, three additional columns will be added for each type of recurring transaction: one for its worth amount in the report month, another for its worth amount in the comparison month, and a third column for the differences between both values.

Headcount Breakdown: 

Generated Salary Reconciliation Reports will include a breakdown of headcount for the report month compared to the comparison month. This information will be incorporated into the header of Detailed reports and will be presented as columns in Summarized reports.

The Headcount Breakdown will include the following:

  • The headcount of the comparison month

  • Leavers:  Number of terminated employees during the report month

  • Joiners: Number of new hires during the report month

Assuming that the chosen report month is the current month and the chosen comparison month is the previous month. The headcount of the current month is calculated by subtracting the number of Leavers from the headcount of the previous month and then adding the number of Joiners.
