The Split Shifts Setup page in ZenHR enables administrators to easily create and manage shifts that divide an employee's workday into two or more intervals within the same day. Unlike standard shifts, which have continuous work hours, split shifts introduce flexibility by allowing breaks between work periods. This feature is especially beneficial for industries like hospitality, healthcare, and customer service, where employees often need to work at different times throughout the day.
For example, an employee could work a split shift from 8:00 AM to 12:00 PM, take a break, and resume work from 2:00 PM to 6:00 PM.
How to Access Split Shifts Setup Page
To access the Split Shifts Setup page, go to User Menu → System Preferences → Time Setup →Work Shift. Then on the Work Shifts page, click on the Split Shifts tab.
How to Add Split Shifts
Click the "+ Add Split Shift" button on the right of the Split Shifts tab.
Fill out the Shift Details:
Name: Enter a name for the shift.
Shift Type: Select the type of split shift (Regular, Flexible, or Roster).
Intervals: Add up to 5 intervals, specifying the start and end times for each.
Margin Percentage Between Intervals: Set the percentage margin to determine which interval a check-in/check-out belongs to.
Days Off: Select the days off for this shift.
Color: Choose a color to represent this shift visually in schedules.
Configure Timing Adjustments:
Grace period for arriving late: Set a grace period allowing employees to arrive late without penalty.
Grace period for leaving early: Set a grace period allowing employees to leave early without penalty.
Grace period for not completing the required number of hours: Set a grace period to allow leniency for employees who do not meet their required hours across all intervals.
Calculate overtime after: Specify the number of minutes after which overtime will be calculated.
Functions and Exceptions:
Functions: If applicable, add specific functions tied to this shift, such as Lunch Break, Smoke Break, or Business Leave.
Working Days Exceptions: Add exceptions to the regular working days for this shift, allowing for different intervals on specific days.
Overtime Exceptions: Add exceptions for how overtime is calculated on particular days or times.
After filling in all the required details, click “Save” to create the split shift.
Fields Descriptions
Intervals
Allows admins to add additional work periods for employees to complete within a calendar day.
Grace period for arriving late
The allowed number of minutes employees can check in after their shift has started. The system will consider employees late after exceeding the predefined grace period and will group the total lateness transactions of all intervals before calculating an employee’s lateness.
Grace period for leaving early
The number of minutes allowed for the employee to check out before their shift has ended. After exceeding the allowed number of minutes, the system will start considering employees’ early check-out from work and will group the total early check-out transactions before calculating early leave.
Grace Period for not completing the required number of hours
The number of minutes allowed for the employee to check out before their shift ends. The system will start considering employees’ incomplete required number of hours for an interval after exceeding the predefined allowed number of minutes and will group the total incomplete hours of all intervals before calculating the total incomplete time.
Calculate overtime after
The system will start calculating overtime after exceeding the defined amount of time after a shift has ended.
Working day exceptions
Allows admins to set different start and end times for a specific workday in the week. Admins can also set particular intervals for that day.
Function
Allows admins to add functions that can be used by the employees such as Lunch Break, Smoke Break, or Business Leave.
Margin percentage between intervals
Allows admins to set which interval check-ins belong to according to how close it is to the end of that interval.
Overtime exceptions
Allows admins to change the overtime rate for a specific day and time.
