Flexible Shifts

The Flexible Shifts Setup page in ZenHR allows administrators to create and manage shifts that offer employees flexibility in their working hours. Unlike regular shifts, flexible shifts are not bound by strict start and end times but instead focus on completing a certain number of hours within a range of time. For instance, an employee might need to work 8 hours a day but can start their day anytime between 8:00 AM and 10:00 AM. This setup is ideal for companies that prioritize work-life balance and want to offer employees more control over their schedules.

How to Access the Flexible Shifts Setup Page

To access the Flexible Shifts Setup page,  go to User Menu → System Preferences → Time Setup → Work Shift. Then click on the Flexible Shifts tab.




How to Add New Flexible Shifts

  1. On the Flexible Shifts tab, click the "+ Add Flexible Shift" button on the right.

  2. Fill out the Shift Details:

    • Name: Enter a name for the shift.

    • Mark as default shift: Check this option if this will be the default shift for new employees.

    • Start time & End time: Specify the time range within which employees can start and end their workday.

    • Flexible shift in hours: Enter the total number of hours that employees must work within the flexible time range.

    • Break time: Set the duration of the break.

    • Days off: Select the days off for this shift.

    • Color: Choose a color to represent this shift visually in schedules.

  3. Configure Timing Adjustments:

    • Grace period for not completing the required number of hours: Set a grace period to allow some leniency for employees who do not meet their required hours.

    • Calculate overtime after: Specify the number of minutes after which overtime will be calculated.

  4. Functions and Exceptions:

    • Functions: If applicable, add specific functions that are tied to this shift.

    • Working Days Exceptions: Add any exceptions to the regular working days for this shift.

    • Overtime Exceptions: Add exceptions for how overtime is calculated.

  5. Once all fields are filled, click “Save”.

Managing Flexible Shifts

On the Flexible Shifts page, you can edit or delete an existing shift, under the Actions column, click on view or edit, delete icons next to each shift.
