Employee Shifts

The Employee Shifts page on ZenHR allows administrators to assign the shifts they have created to their employees. The Employee Shifts page is a powerful tool for managing and scheduling employee work hours efficiently.

How to Access the Employee Shifts Page

To access the Employee Shifts page,  go to Main Menu → Time Management → Attendance & Time Tracking → Employee Shifts




How to Add Regular Shifts

Assigning Regular Shifts Individually

  1. Navigate to the Regular Shifts TabSelect the Regular Shifts tab to assign regular, flexible, or split shifts.

  2. Click on the “+ Add” button in the top right corner.

  3. Choose the Employee from the dropdown.

  4. Pick the Work Shift from the dropdown.

  5. Choose the From/To dates.

  6. Once the shift is selected, click on "Create" to finalize the assignment.

Assigning Shifts via Import

  1. Download Template: To assign shifts to multiple employees simultaneously, click on "Import Employee Shifts" and download the template provided.

  2. Fill Out the Template: Complete the template with the necessary shift details for each employee.

  3. Upload the Template: Upload the filled template back into the system and click on the "Import" button.

  4. Once imported, the shifts will automatically be assigned to the employees as per the uploaded template.

Assigning Mass Shifts

  1. Click on “Add Mass Shifts”: To assign the same shift to multiple employees, click on the "Add Mass Shifts" button.

  2. Select Shift Details: Fill out the shift details, including the shift name, start date, end date, work location, department, and other relevant fields.

  3. Choose Action on Existing Shifts: Decide whether to replace or keep existing shifts.

  4. Submit the Mass Assignment: Click "Submit" to assign the selected shift to all the specified employees.


Switching All Employees to Regular Shifts

  1. This option is available in the Mass Shifts dropdown. Click “Add mass shifts”.

  2. Once clicked, all Roster Shift employees will be converted to Regular Shift employees.


Adding and Managing Employee Roster Shifts

Assigning Roster Shifts Individually

  1. Navigate to the Scheduling TabSelect the Scheduling tab to assign roster or roster split shifts.

  2. Use the Filters section to refine the list of employees based on criteria such as work location, department, section, position, and more.

  3. Click on “+ Add”: In the employee row, click on the "+ Add" button under the relevant date column.

  4. Pick a Shift: A pop-up window will appear, allowing you to select the shift type and specific shift you want to assign to the employee.

  5. Save the Assignment: Once the shift is selected, click on "Add" to finalize the assignment.




Assigning Shifts via Import

  1. Download Template: To assign shifts to multiple employees simultaneously, click on "Import Shift Schedule" and download the template provided.

  2. Fill Out the Template: Complete the template with the necessary shift details for each employee.

  3. Upload the Template: Upload the filled template back into the system and click on the "Import" button.

  4. Once imported, the shifts will automatically be assigned to the employees as per the uploaded template.

Copying Schedules

  1. Copy a Schedule: Use the "Copy Schedule" button to replicate a previously created schedule for a new date range or employees.

  2. Select Current Schedule Dates: Select the dates for the Schedule you want to Copy.

  3. Select New Schedule Dates: Select the dates for the new Schedule that you want to copy to.

  4. Review and Confirm: After copying, review the schedule and confirm the details.


Exporting & Notifying

  1. Export Generated Schedule: To export the shift schedule, click on the "Export Generated Schedule" button. This will allow you to download the schedule in a preferred format.

  2. Notify People: Use the "Notify People" button to send out notifications to employees about their assigned shifts via email or other communication channels integrated into ZenHR.
