Regular Shifts

The Regular Shifts feature in ZenHR is a powerful scheduling tool designed to simplify the management of fixed work schedules. Perfect for organizations with standard working hours, this feature allows administrators to easily set up and maintain consistent employee schedules, such as typical 9 AM to 5 PM workdays. It streamlines the process by enabling bulk shift assignments, automated schedule repetition, and customizable break times, ultimately reducing administrative work while ensuring accurate time tracking and schedule transparency for both managers and employees.

How to Access the Regular Shifts Setup Page

To access the Regular Shifts Setup page, go to User Menu → System Preferences → Time Setup → Work Shift. Then click on the  Regular Shifts tab. 




Creating New Regular Shifts

On the Work Shifts page, click on the Regular Shifts tab.

Then click the “Add Regular Shift” button located at the top right of the page. Complete the fields that appear for the regular shift:

  1. General:

    • Name: Enter the name of the shift.

    • Mark as default shift: Check this box if you want this shift to be the default for new employees.

    • Start Time and End Time: Set the start and end times for the shift.

    • Break Time: Specify the break time (if any) for the shift.

    • Days Off: Select the days off associated with this shift.

    • Color: Choose a color to represent the shift visually.

  2. Timing Adjustments:

    • Grace period for arriving late: Set the number of minutes allowed for late arrivals without penalty.

    • Grace period for leaving early: Specify the number of minutes allowed for early departures.

    • Calculate overtime after: Define the number of minutes after which overtime is calculated.

    • Deduct the grace period from lateness/tardiness calculations: Check this box if you want to include the grace period in lateness calculations.

  3. Working Days Exceptions:

    • Add exceptions for specific days if the shift schedule varies on certain days.

  4. Overtime Exceptions:

    • Configure overtime rates and settings for specific days or periods.





Managing Regular Shifts

To edit or delete an existing shift, under the Actions column, click on view or the edit, delete icons next to each shift.
