The disciplinary action module allows HR personnel to create and track disciplinary cases according to company policy.

How To Add a New Disciplinary Type

Each Disciplinary Action Type may be defined under several Disciplinary Action Rules. By clicking Add, the page below will appear.

This page enables admins to build a set of actions that will be taken down once if a violation occurs. Once a deduction type has been chosen, admins will be requested to specify which deduction will take place. The deductions are divided into two types: Balanced Vacation or Financial Deductions.                                    


Balanced Vacations Deduction Type

The Balanced Vacations deduction type is used to deduct from the employee’s time off balance. Admins can select which vacation types they would like to deduct from.

Financial Deduction Types

Financial Deduction Types are used to subtract an amount from the employee’s salary due to a rule violation. The three Financial Deduction sub-types are: 

  • Fixed Deductions: admins can add a fixed amount that will be deducted from the employee’s salary.

  • Salary day: admins can specify the number of days which will be deducted from the total monthly salary.

  • A percentage from Salary: admins can allocate a particular percentage to be deducted from the employee’s salary.

Setting Up Disciplinary Actions Rules

Disciplinary Action Rules are the underlying reasons that lead to the actions taken. By clicking Add, the page below will appear (Figure 6).

This page allows admins to link the Actions Types to the newly created Rule.


Linking Disciplinary Actions to Leaves

After linking Disciplinary Action Types to the Disciplinary Action Rule, admins can link it to a specific leave type. The disciplinary actions column will appear as evident in the picture below (Figure 7).

By clicking "Redundancy Actions", the pop-up below will be shown (Figure 8).

This enables admins to take action if the number of transactions allowed for the leave is exceeded. Admins can also create slices[H1]  for a particular disciplinary action type based on repetitions. 

 

By clicking Exceed Grace Period Actions, the screen below will pop up (Figure 9).

This allows admins to take measures if the grace period in minutes is surpassed. Admins may also create slices for each number of minutes that have been surpassed. 

 

Fields Description

Field

Description

Disciplinary Action Name (Figure 1)

Admins must choose the name of the Action to be taken. 

HR Letter (Figure 1)

Admins have the option to link this Disciplinary Action Type to an HR Letter that has been previously created. 

Deduction Type (Figure 1)

A dropdown list of actions that the admin would like ZenHR to take. 

Time off Balance (Figure 2)

Admins can choose which Vacation Type they would like to deduct from.
Deduction Amount (Figure 2)

Admins must select the number of days to deduct from the salary.

Financial Transaction Type (Figures 3,4, & 5)

Admins must choose the name of the Financial Deduction to be displayed on the Salary Slip. 

Allowances (Figures 4 & 5)

Admins have the option to deduct Allowances as well. By clicking Add, a drop-down list will appear with the company’s fixed allowances.

Rule Name ( Figure 6)

Admins must specify the name of the rule to be implemented. 

Type (Figure 6)

By choosing sequential, admins can order how the actions will be taken. By choosing separate, admins can make a list of possible actions and apply them according to the situation. 

Drop After (Figure 6)

Admins must select the period after which the rules and actions will be reset.  

Prevent Repetition Before (Figure 6)

Admins must choose the time frame for which this action cannot be repeated.
